Job duties Reception duties:
• Greet guests in lobby
• Sign for daily special deliveries and packages
• Answer telephone and directing calls
• Validate parking tickets

Kitchen duties:
• Daily restocking of refrigerator for soft drinks and water
• Replenish coffee and tea supplies
• Order these supplies from vendor
Company secretarial duties:
• Mail (also includes regulatory duties)
• Respond to company website emails
• Distribute faxes and checking fax machine throughout the day
• Make travel reservations and purchasing airline tickets
• Make hotel reservations for guests
• Prepare correspondence
• Notarize and witnessing of agreements

Office Management Duties:
• Order Office supplies
• Order beverages, tea and coffee
• Update postal machine with software downloads. Research websites for rate increase information and send Inter-office memos advising same.
• Resolve office equipment problems
• Order HR compliance posters from Personnel Concepts
• Maintain phone system, and contact for the phone system company when needed
• Renew publications and subscriptions. Ordering new subscriptions
• Contact building management. Maintain tenant lease documents. Attend webinars/seminars when needed. Report problems and other matters when needed.

Social Functions:
• Responsible for planning and organizing the annual holiday party
• Assist other staff with club luncheons and outside meetings

Marketing:
• Assist other staff with various correspondence and land-related projects.
• Prepare reports and requests for managers’ signature
• Request checks for recording of documents, preparing transmittal correspondence, and keeping track of same
• Track production and marketing-related reports for regulatory filings
• Forward, electronically, production reports and materials to managers at the end of each production month
• Track and organizing insurance certificates

Accounting:
• Verify expenses and forward invoice to manager for payment
• Bank deposits
• Credit representative; setting up new accounts and updating credit information sheet.
• Track credit card charge receipts
• Download monthly invoice, checking charges/receipts and forwarding to manager
• Maintain a company data base (sorted by month and year).
