Job duties Accounting:

Application of Incoming Payments and A/R Overdue Reports (30%):
1) Find and print copies of incoming checks and attachments from check imaging system and keep passwords and certificates current within the system
2) Clear all incoming receipts and find reasons for any discrepancies within the correct posting period by written confirmation (e-mail) from the trade dept.
3) Find all receipts posted on Account and clear within the correct posting period
4) Determine reasons why items are overdue for monthly/quarterly quarterly reports as needed by manager and assist in overdue report preparations
5) Assist and support accounting staff to prepare L/C documentations.

Daily Disbursements (50%):
6) Check all operating expense disbursements of trade and non-trade disbursements of Houston branch for accuracy and applicable documents and approvals in order to process for payment in a timely manner.
7) Print check register and distribute checks issued manually.
8) Print Payment Settlement Lists created for each day for filing purposes

Report (Trade) (5%):
9) Pull down report (Investigation Report if required) upon trade departments's request and report back to trade via e-mail in a timely manner.

Internal Control / Audit Request (5%):
10) Assist Accounting Managers to retrieve documents and make any necessary copies of testing samples for Internal Control testing.
11) Assist Accounting Managers with Audit Requests from NY office for audit and J-SOX audit by retrieving necessary documents and make any necessary copies of audit requests.


General Affairs:

Support Rotating Staff: (5%)
1) Responsible for filing and maintaining all U.S. immigrations records for the rotating staff and their families and notifying rotating staff of their passport, visa and I-94 expiration dates.
2) Make various arrangements for rotating staff relocating to Houston. This would include the providing assistance with following items:
a) Obtaining a Social Security number for employee and for the family members.
b) Establishing a personal bank account.
c) Explaining the process for applying for a Texas drivers license.
d) Issue a company loan if requested.
e) Submit residency form to Consulate General of Japan.
f) Completing Direct Deposit Authorization Form for expense reimbursement.
3) File Employment Verification Form to U.S. Immigration and Naturalization Service and file Alien’s Change of Address Card.
4) Payroll Input:
a) W-4 Form
b) Payroll Direct Deposit Form
c) Online pay stubs user information
d) Allocation of Personnel Expenses
e) Send application of yen payroll payment to MC/TOK
f) Send housing preparation form to MC/TOK
